Use Case · Service Reminders

The service advisor they already know
reminds them their car is due.

Service retention falls off fast after the sale. Most dealerships rely on generic email or postcard reminders — and most of those go ignored. A personalized video from the specific service advisor, referencing the customer's exact vehicle and the milestone that's due, gets more customers back to your service bay than any email campaign.

What the customer sees

Specific vehicle, specific milestone, specific service advisor. No generic blast.

“Jennifer, your Accord is due for its 30K service. We've got a slot open Thursday morning — I'll make sure we get you in and out fast.”

“Mike, it's been about 5,000 miles since your last oil change on the F-150. Good window next week if you want to swing by.”

“Sarah, the Tahoe's 60K service is coming up. Let me know when works and I'll hold a bay for you.”

How VoxRefine handles service reminders

Triggered by DMS milestones. Delivered from the actual service advisor.

1

DMS flags the service milestone

Your DMS identifies a vehicle approaching a service milestone — mileage, time, recall, or warranty. A webhook fires to VoxRefine with the vehicle, customer, milestone type, and assigned service advisor.

2

Personalized reminder generated

From the service advisor's source recording, VoxRefine generates personalized audio referencing the customer's name, specific vehicle, and the specific service being recommended. Different milestone templates for routine service, recalls, and warranty windows.

3

Booking link embedded

The delivery (SMS or email) includes a direct booking link into your service scheduler. Customers can confirm a specific slot without calling. Engagement is tracked so the service advisor knows who watched and can plan a call if needed.

Questions dealers ask about service reminder videos

What triggers a service reminder video?

Standard service milestones pulled from your DMS: mileage intervals (30K, 60K, 90K), time-based windows (oil change cadence, annual inspection), recall notices, and warranty expirations. VoxRefine subscribes to DMS webhooks or polls on a configurable schedule depending on your setup.

Can the service advisor be different from the original salesperson?

Yes — and usually should be. Service reminders come from the service side of the dealership, not sales. VoxRefine supports a separate set of source recordings for service advisors. The customer sees the person who handles service, referencing their specific vehicle and the specific milestone due.

How does it handle multiple service advisors?

Each advisor records one source video. Assignments can be customer-mapped (the advisor a given customer has worked with before), round-robin, or based on load balancing. The most common setup is 'same advisor the customer saw last time' for continuity.

Does it work for safety recalls?

Yes. Recall notices from the DMS trigger a separate template — the tone of a recall reminder differs from a routine-service nudge. The pipeline handles both by way of the trigger configuration; the underlying video generation is the same.
